Downloading PDFs of Floorplans and Seating Arrangements

You can download a PDF document of your Floorplan to your computer so you can print it out and email it to team members and/or clients.

IMPORTANT NOTE: When you are in the Floorplan Dashboard, whatever is displaying on your screen will be included in the PDF download. You can use the "Current View" options to display the information you wish to have appear in the downloaded PDF.

To Create a PDF of a Floorplan:

  1. Click on the "Floorplans" tool button on the Event Dashboard - OR - use the Quick Launch tool to select the appropriate Event and the "Floorplans" tool.
  2. Find the appropriate floorplan to which you want to add elements and click on the "Open" button next to it.
  3. Under "Current View", select the view you want to have appear in the PDF:
    • Design View will show just the elements you have added to the Floorplan.
    • Service Area View will show all Floorplan elements and any service areas you have created around certain elements (like tables).
    • Attendee View will show all Floorplan elements and the names of attendees you have placed at seats.
  4. Click on the "PDF" button and confirm by clicking the "Generate PDF Now" button. The PDF file will momentarily download to your computer.

Once downloaded, you can print out the PDF or email it. It has been prepared to print to the dimensions of whatever paper size you designate.

IMPORTANT NOTE FOR ADOBE ACROBAT USERS:
When attempting to save Floorplan PDFs using Adobe Acrobat Reader or Pro, you need to first do the following...

For PCs:

  1. Open the Adobe Acrobat Reader or Pro application.
  2. Click on the "Edit" menu and select "Preferences".
  3. Choose the category named "Documents".
  4. Uncheck the "Save As optimizes for Fast Web View".
  5. After this, the Save As option works without issue.

For Macs:

  1. Open the Adobe Acrobat Reader or Pro application.
  2. Click on the "Acrobat Reader" or "Acrobat Pro" menu and select "Preferences".
  3. Choose the category named "Documents".
  4. Uncheck the "Save As optimizes for Fast Web View" and click "OK".
  5. After this, the Save As option works without issue.
