Customizing the "Reply-To" Email Address and Email Sender "From" Line

Planning Pod gives you the ability to send out many email notifications directly from your account. For example, you can email proposals and invoices from inside your account directly to Contacts, or you can schedule email reminders for things like calendar appointments, To-Do's, itinerary items and invoice payments.

These emails must be sent from an @planningpod.com email address to help ensure that they pass through spam filters and are properly delivered. However, you can customize two things in the email header of the emails sent from your account:

  1. Reply-To Email address - You can customize the Reply-To email addresses so that when a person replies to an email sent from your account, the reply will be sent to the Reply-To address(es) that you specify. You can set the Reply-To email address to either 1) the user who is sending the message or 2) the email addresses of one or more contacts in your account (if you want the same people to receive replies for all messages).
  2. "From" Sender Name - Every email message has a "From" line that identifies the name of the sender. You can set the name of the sender to 1) the name of the user who is sending the message, 2) the name of the company/organization of the account owner (pulled from the account owner's information in the Contacts area), or 3) the name of one of the Contacts in your account (if you want all system emails to show they are coming from the same person).

To Customize "Reply-To" Email Addresses:

  1. Click on your name in the top left corner and select the "Settings" option.
  2. Under the "Communcation & Alerts" heading, click on the "Email Setup" link.
  3. Find the "Set Reply-to Email Address and From Sender Name" box and click the "Edit" button.
  4. In the "Reply-To Address" area, set the Reply-To address to one of the following:
    • The email address of the user sending the message.
    • The email address(es) of one or more of the Contacts in your account. Select this option if you want the same people to receive replies for all messages.
  5. Click "Save" when you are finished.

To Customize the "From" Sender Name:

  1. Click on your name in the top left corner and select the "Settings" option.
  2. Under the "Communcation & Alerts" heading, click on the "Email Setup" link.
  3. Find the "Set Reply-to Email Address and From Sender Name" box and click the "Edit" button.
  4. In the "From Sender Name" area, set the Sender Name to one of the following:
    • The name of the user sending the message.
    • The name of the company of the account owner. Select this option if you want the name of your company/organization to display for all emails sent from your account.
    • The name of one of the Contacts in your account. Select this option if you want the name of the selected Contact to display for all emails sent from your account.
  5. Click "Save" when you are finished.
