Creating/Using Itinerary Templates

With our Itinerary tool, you can build reusable schedules and timelines for your Events, with unlimited Items and Categories.

A standout feature is the ability to designate how many days before, after or on the event date that each Itinerary Item should be placed.

To Create a New Itinerary Template from Scratch:

  1. Click on "Templates" in the main navigation bar and click on the "Itinerarie Templates" link.
  2. Click on the "Add Template" button.
  3. Enter the Itinerary Template name and click "Save".

This brings you to the Itinerary Template Dashboard where you can add unlimited Itinerary Items and Categories to which you can assign items.

  • Adding Itinerary Categories
    1. Find the "Categories" box and click on the "Add" button.
    2. Type in the Category name, select a color for the Category and click "Save".
    3. Repeat until you have added all the Categories you need.
  • Adding Itinerary Line Items
    1. Click on "Add Item" button.
    2. In the "Item" tab, enter the item name and details/note.
    3. In the "Time" tab, enter the start time and end time.
      • Optional: If you need to shift the start times for the items that fall before or after this item, use the dropdowns under "Shift items BEFORE..." or "Shift items AFTER..."
    4. In the "Import Options" tab, you can:
      • Set a reminder for Contacts and Vendors assigned to the item by clicking on the "On import, set reminder for this item?" checkbox; selecting whether you want email and/or text message reminder; and how far in advance of the start time the reminder should be sent.
      • Designate if you want the item to be inserted on the Event date or a certain number of days before or after the Event date.
    5. In the "Assignments" tab, you can assign the item to one or more Vendors, Contacts and/or Venues by clicking in the approproate fields.
      • NOTE:  If the Vendor or Contact has not been added to the account, you can add it by clicking on the appropriate "Create New..." button.
    6. In the "Categories" tab, you can assign the item to one or more categories.
    7. Click "Save" when you are finished.

 

To Create an Itinerary Template from an Existing Itinerary:

  1. Click on the "Itinerary" tool button in the Event Dashboard.
  2. Click on the "Import/Export" button and select the "Save as Template" option.
  3. Enter the Template name and click "Save".
  4. After clicking "Save", the entire Itinerary has been saved as a new Template, which you can now edit and modify in the Templates area.

To Import an Itinerary Template into a New Itinerary:

  1. Click on the "Itinerary" tool button in the Event Dashboard.
  2. Click on the "Import/Export" button and select the "Import Template Into Itinerary" option.
  3. From the dropdown menu, select the Itinerary Template that you wish to import.
  4. After clicking "Save", the items and associated Categories from the selected Template will be imported.
