Planning Pod gives you the ability to create and send out emails directly from your account using the email address of your choice. We have provided default email templates for standard notifications that can be customized based on your business. Additionally, you can create custom email templates to use for communication with clients and vendors throughout the planning process.
The following Default Templates allow you to edit your customized default message prior to sending it to a Contact, giving you the opportunity to personalize it for that particular individual.
- Email asking someone to review and sign a Contract
- Email asking someone to review and sign a Proposal
- Email that sends an auto-attached Proposal PDF file
- Email that sends an auto-attached Invoice PDF file
- Email a form/questionnaire requesting responses (link auto-included)
The following Default Templates can be customized but cannot be personalized before every email is sent:
- Email a contact an invitation to collaborate inside Planning Pod (create a login).
- Email a newly set up Planning Pod user in your account (welcome email after login has been created).
- Email an automated reply to a newly submitted lead.
- Email to notify users a Hold (for a Lead) is about to expire.
- Email that acknowledges a payment received from a customer (thank you).
- Email a payment reminder to a customer (payment info auto-included).
IMPORTANT NOTE: Want to paste text from a document into an email in Planning Pod? Read these copy-and-paste instructions first.
To Customize a Default Email Message:
- Click on "Templates" from the main navigation menu.
- Under the "Communication Templates" heading, click on the "Email Templates" link.
- Find the notification message that you want to edit, click on "Actions" to the right of the message and choose "Edit from the dropdown menu.
- Modify the title, subject line and body content for the message.
- Click "Save" when you are finished.
To Create a Custom Email Template:
- Click on "Templates" from the main navigation menu.
- Under the "Communication Templates" heading, click on the "Email Templates" link.
- Click on "Add Template" at the top of the screen.
- Add the title, subject line and body content for the message.
- Click "Save" when you are finished.
