By creating Line Item Templates, you can quickly add Line Items on the fly to your Proposals and Invoices. This is great for adding things like packages, menu items, rental items or other commonly requested items. Once you import the Line Item Template, you can then modify it from within the Proposal or Invoice.
To Create a New Line Item Template from Scratch:
- Click on "Templates" in the main navigation bar and click on the "Proposal & Invoice Line Item Templates" link.
- Click on the "Add Template" button.
- Enter details for the item name; description; quantity/hours (must be at least "1" to calculate a subtotal for the item); unit cost; sales tax rate; and markup/discount rate.
- Click "Save" when you are finished.
- To add an image to the line item, click on the "Actions" button to the right of the line item; select the "Add Thumbnail Image" option; and follow the instructions to add an image from your computer.
To Create Line Item Templates from an Existing Invoice or Proposal:
- Click on the "Invoices" or "Proposals" tool button in the Event/Lead Dashboard - OR - click on "Invoices" or "Proposals" in the main navigation bar.
- Find the appropriate Invoice or Proposal and click on it.
- In the line items area, click on the "Import/Export" button and select the "Save Line Items as Templates" option.
- From the dropdown menu, select one or more Line Items that you wish to save as Templates.
- After clicking "Save", the selected Line Items will be saved as new Line Item Templates in the Templates area, which you can now edit and modify.
To Add a Line Item Template to an Invoice or Proposal:
- Click on the "Invoices" or "Proposals" tool button in the Event/Lead Dashboard - OR - click on "Invoices" or "Proposals" in the main navigation bar.
- Find the appropriate Invoice or Proposal and click on it.
- In the line items area, click on the "Import/Export" button and select the "Import Line Item Template(s) as New Line Items" option.
- From the dropdown menu, select one or more Line Item Templates that you wish to import as new Line Items.
- After clicking "Save", the selected Templates will be saved as new Line Items. They will include all details from the Templates (including the name), which you can now edit and modify.
