Collecting Responses to a Form

You can collect responses from multiple respondents for any Form you create in your account, and the system will save and compile the responses for you.

Here is generally how the signature process works:

  • You can send an email from the Form Dashboard (which contains a link to the Form) to collect responses from any Users who are assigned to the Event - OR - you can copy-and-paste the link to the Form and share with people you want to collect responses from.
  • Potential respondents click on the link to the form (which exists outside your account on a secure page); complete the questions; and submit them.
  • Optional: If the signer wishes to update/modify their responses, they use the Form link; enter their email address (which serves as their password); and make their revisions.
  • All responses are collected and compiled for easy viewing and can be downloaded to a PDF document.

To Email a Link to Collect Responses to a Form:

  1. Click on the "Forms Builder" tool button on the Event Dashboard - OR - use the Quick Launch tool to select the appropriate Event and the "Forms Builder" tool.
  2. Find the appropriate Form and click on the "Open" button.
  3. In the "Form Completion URL / Link" area, click on the "Email Link" button.
  4. Choose the recipients in the "To" field.
    • NOTE: You can only use the Email function to send the link to Contacts who have been assigned to the Event.
  5. Customize the subject line and body text and click "Send Now" when you are ready to send.
  6. An "Email Sent" notification will appear at the top of the screen when the email is finished sending.

To Use the Form Link to Collect Responses:

  1. Click on the "Forms Builder" tool button on the Event Dashboard - OR - use the Quick Launch tool to select the appropriate Event and the "Forms Builder" tool.
  2. Find the appropriate Form and click on the "Open" button.
  3. In the "Form Completion URL / Link" area, copy-and-paste the Form URL displayed here. The link begins with "https://survey.planningpod.com..." and also includes a long string of numbers, letters and symbols. Make sure to copy the ENTIRE link.
  4. Once copied, you can paste this link into your own emails or messages to potential respondents.

Once a respondent clicks on the Form URL link, they will be taken to the Form page where they can record their responses.
