The Budgeting Groups feature lets you set up headcounts or unit counts and then create Budget line items based on these counts.
For example, say you wanted to create a line item based on a headcount of 500 estimated attendees and a $25.00 estimated cost per person (or a unit count of 500 gifts w/ unit cost of $25.00). You could create a Budgeting Group called "Attendees" (or "Gifts") and add a estimated count of 500. Then, when creating the line item, just use the Budgeting Group feature for your estimated cost; select the "Attendees" item; and add a per-person (or item) cost of $25.00. The Budget line item would then make the calculation of $12,500.00 for the total estimated cost.
To Add a New Budgeting Group:
- Click on the "Budget" tool button on the Event Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event and the "Budget" tool.
- Click on the "Setup Budgeting Groups" button.
- Click on the "Add Budgeting Group" button.
- Enter the name of the Budgeting Group; the estimated headcount; and the actual headcount.
- NOTE: If your headcount numbers are subject to change, you can always edit counts later on in this tool.
- Click "Save".
To Edit/Delete a Budgeting Group:
- Click on the "Budget" tool button on the Event Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event and the "Budget" tool.
- Click on the "Setup Budgeting Groups" button.
- Find the appropriate item and click on the "Actions" button.
- To edit the item:
- Select the "Edit" option.
- Make your changes and click "Save".
- To delete the item:
- Select the "Delete" option and confirm by clicking on "Delete Now".
- NOTE: This will delete the Budgeting Group AND it will also zero out any Budget line item that it is associated with.
