You can download a PDF document of your Floorplan to your computer so you can print it out and email it to team members and/or clients. We allow you to decide what details you want to download with your floorplan PDF in order to best serve your business.
To Create a PDF of a Floorplan:
- Click on the "Floorplans" tool button on the Event Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event and the "Floorplans" tool.
- Find the appropriate floorplan to which you want to add elements and click on it.
- Click on the "Export" button; select the "Download PDF" option and complete the view options
- "Include a details Page for each table/chair row?" will allow you to have a 1 page breakdown for each table/chair row that includes attendee names and other details.
- "Select Seating View" allows you to select VIP Status, RSVP Status, Meal Choice or Invitation Priority for the downloaded view
- "Show Attendee Names" allows you to show or hide the name of the attendees.
- "Show Table Numbers" & "Show Labels" dictate if this information will show up on the download or not.
- Once you are content with your settings click the "Generate PDF" button. The PDF file will momentarily download to your computer.
Once downloaded, you can print out the PDF or email it. It has been prepared to print to the dimensions of whatever paper size you designate. If it prints out too small to read on a standard 8.5" x 11" piece of paper, you may need to print it out on a larger paper size.
IMPORTANT NOTE: The individual detail pages for tables/chair rows are only available for download from the Floorplans tool. PDFs of the Floorplan generated as a part of the Event Book or via the attachment in the Communications tool will not include these detail pages.
IMPORTANT NOTE FOR ADOBE ACROBAT USERS:
When attempting to save Floorplan PDFs using Adobe Acrobat Reader or Pro, you need to first do the following...
For PCs:
- Open the Adobe Acrobat Reader or Pro application.
- Click on the "Edit" menu and select "Preferences".
- Choose the category named "Documents".
- Uncheck the "Save As optimizes for Fast Web View".
- After this, the Save As option works without issue.
For Macs:
- Open the Adobe Acrobat Reader or Pro application.
- Click on the "Acrobat Reader" or "Acrobat Pro" menu and select "Preferences".
- Choose the category named "Documents".
- Uncheck the "Save As optimizes for Fast Web View" and click "OK".
- After this, the Save As option works without issue.
