Adding/Managing To-Do's

NOTE: All To-Do's added from inside an Event or Lead will also be displayed on the Calendars tool. Go to Adding To-Do's Via the Calendar to see how to add/manage To-Do's in the Calendars tool.

The instructions below apply to managing To-Do's in both Events and Leads (it is essentially the same tool but in two different areas of your account).

You can also use the checkboxes next to To-Do items (or the "Select All Items" button) to make mass modifications to multiple items at the same time.

To Add a To-Do:

  1. Click on the "To-Do's" tool button on the Event/Lead Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event/Lead and the "To-Do's" tool.
  2. Click on the "Add To-Do" button.
  3. Add the to-do name/description; due date; contact assignments; list assignment; reminder date/time and type of reminders to send (email and/or text); and notes.
    • NOTE: When assigning contacts to a To-Do, you can click in the "Assign Contacts" field to select a contact already assigned to the Event, or you can click the "Create New Contact" to add a new contact to the account, the Event and the To-Do.
  4. Click "Save & Close" if you are finished, or click "Save & Add Another" to create another To-Do.

NOTE: The Contacts who are assigned to a To-Do will receive an email notification at 8:00 a.m. on the due date; this is in addition to the reminder email/text alert that you can addl.

To Attach a File to a To-Do:
NOTE: Attaching a file to a To-Do lets you be able to download the attached file for easy access.

  1. Click on the "To-Do's" tool button on the Event/Lead Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event/Lead and the "To-Do's" tool.
  2. Find the To-Do in question and click on its name.
  3. Find the "Files" item and click on the "Upload" button.
  4. Click on the "Click to Select Files" button and select the files from your computer. They will be uploaded momentarily.
  5. To download the file, click on the cloud icon.

To Mark a To-Do as Complete:

  1. Click on the "To-Do's" tool button on the Event/Lead Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event/Lead and the "To-Do's" tool.
  2. Find the To-Do in question and click on the checkmark icon (next to the pencil icon). The To-Do will be marked as complete.

To Edit a To-Do:

  1. Click on the "To-Do's" tool button on the Event/Lead Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event/Lead and the "To-Do's" tool.
  2. Find the To-Do in question; click on the pencil icon; make your changes; and click the "Save & Close" button.

Alternately, you can open the To-Do by clicking on the name and clicking on the "Update" button next to each element to edit it.

To Delete a To-Do:

  1. Click on the "To-Do's" tool button on the Event/Lead Dashboard - OR - use the Quick Launch or Switch Event tool to select the appropriate Event/Lead and the "To-Do's" tool.
  2. Find the To-Do in question and click on the garbage can icon (next to the pencil icon). The To-Do will be deleted.
