If you regularly use another electronic calendar application to manage your schedule, like Google and Outlook, you can sync up a variety of different Planning Pod calendar items to your external calendar! By using the URL address, you can select the type of calendar you want to share, like "Open leads" or "Booked Events" or "All By Venue" and the items will show up on your google or outlook calendar.
Though this article focuses on Google and Outlook, you can sync your Planning Pod Calendars to other calendar applications like Apple, Yahoo, and others.
Please note: This is a one-way sync. Planning Pod will push Planning Pod dates and times to your external calendar, but if you add an item to your external calendar, it will not add to Planning Pod.
Please review the videos below as they walk you through the steps! Also, be sure to scroll to the bottom to learn how to refresh your calendar connection- especially if calendar events are no longer showing on your external calendar.

Troubleshooting: Refreshing Calendar Connection
After you connect your Planning Pod calendar, events will populate in! It's important to know that the calendar syncing is not instant. The way that syncing works is that the provider of your e-calendar (google, Apple, Microsoft, etc.) pings our database periodically to pull the new data that has been recently updated in your Planning Pod Calendar. We don't have control over then it pulls that data. It could be every 10 minutes, 2 hours, or up to 24 hours. Most e-calendar providers ping our database frequently, so this isn't usually an issue, but sometimes they aren't as frequent, and this may be such a case.
Sometimes, the calendar connection just needs a refresh! This will help encourage the systems to push out and pull in new data. Here's how to refresh:
- Log-in to your Planning Pod account.
- Click "Calendar" on the left side navigation bar
- At the top, you'll see a row of buttons, click on "Import/Export", then "Subscribe to Planning Pod Calendars".
- You'll see a button labeled "Refresh Calendars". Click that button once. (Try not to click multiple times!)
This will signal the calendars to refresh and send out the information. Make sure to only click the "Refresh" button once, as it will restart the process. Also, allow up to 24 hours to see if the new information comes into your external calendar.
Still not seeing your events come through? Next Step:
If you've done this, waited 24 hours, and still are not seeing your calendar information, please email support@planningpod.com and let them know! They will ask what calendar links you are using and an example or two of Event Names you do not see on your external calendar. They can help troubleshoot further!
