Your Planning Pod account comes equipped with data placeholders to merge information from your individual events into proposal, invoice, contract, and email templates.
The seconds it takes to manually type this information really add up - these data placeholders can save you significant process time.
To Use Data Placeholders in Proposal Templates
- Log into your Planning Pod account.
- Navigate to Templates on the left side of the screen.
- Under Business & Legal Templates, select Proposals & Invoices.
- To edit an existing template, click to open; to create a new template, select Add Template.
- Select the pencil icon to the right of either of the following sections:
- Introduction/Terms
- Message
- Add any of the following information by selecting the Data Placeholder drop down menu at the top of the panel that appears:
- Event date
- Event description
- Event name
- Event venues
- Actual/estimated/minimum event head counts
- Signer address
- Signer company/title
- Signer email/phone
- Signer first name/last name/full name
- Hit "Save".
NOTE: Up to 3 unique signers' data points can be represented by placeholders in Proposal templates.

To Use Data Placeholders in Contract Templates
- Log into your Planning Pod account.
- Navigate to Templates on the left side of the screen.
- Under Business & Legal Templates, select Contracts.
- To edit an existing template, click to open; to create a new template, select Add Template.
- Select Edit at the top of the screen.
- Add any of the following information by selecting the Data Placeholder drop down menu above the Contractual Language/Terms of Agreement section:
- Event date
- Event description
- Event name
- Event venues
- Actual/estimated/minimum event head counts
- Signer address (up to 3 signers)
- Signer company/title
- Signer email/phone
- Signer first name/last name/full name
- Hit "Save".
NOTE: Up to 3 unique signers' data points can be represented by placeholders in Contract templates.

To Use Data Placeholders in Invoice Templates
- Log into your Planning Pod account.
- Navigate to Templates on the left side of the screen.
- Under Business & Legal Templates, select Proposals & Invoices.
- To edit an existing template, click to open; to create a new template, select Add Template.
- Select the pencil icon to the right of the Message section.
- Add any of the following information by selecting the Data Placeholder drop down menu in the panel that appears:
- Event date
- Event description
- Event name
- Event venues
- Actual/estimated/minimum event head counts
- Signer address (up to 3 signers)
- Signer company/title
- Signer email/phone
- Signer first name/last name/full name
- Hit "Save".

To Use Data Placeholders in Email Templates
- Log into your Planning Pod account.
- Navigate to Templates on the left side of the screen.
- Under CommunicationTemplates, select Emails.
- To edit an existing template, click Actions > Edit to the right; to create a new template, select Add Template.
- Add any of the following information by selecting the Data Placeholder drop down menu above the Email Body Text section in the panel that appears:
- Event date
- Event description
- Event name
- Event venues
- Actual/estimated/minimum event head counts
- Recipient company/title
- Recipient first name/last name/full name
- Sender address
- Sender company/title
- Sender email/phone
- Sender first name/last name/full name
- Hit "Save".
